How to Schedule An Event at St. Joseph Parish
    • All scheduling is done through the parish office. Parish activities, committees and organizations are given priority to schedule use of the facilities. Calendar items for the fiscal year (July 1 through June 30) should be submitted no later than July 24 for inclusion in the calendar. Calendar requests for special or additional events should be made in writing as soon as possible. This will help avoid conflicts. Please note that there is a priority assigned to each event. This priority is used when conflicting requests are received.

    • All organizations using the facilities are required to set up for the event and to return the space to the original configuration at the end of the event. Our custodial/maintenance personnel ARE NOT responsible for this. No events will be scheduled when the parish office is closed for a holiday. If the parish offices close due to inclement weather, all activities will be canceled. In addition, there are times when activities are suspended due to liturgical or parish events (for instance, Ash Wednesday, Holy Week, Carnival week). At this time, requests for Saturdays and Sundays will only be scheduled if a staff member is involved and available to open up and lock up the facility.

    • The attached form is the only method to request use of parish facilities. It needs to be filled out completely, including the amount of setup and cleanup time required, as well as any special equipment needed. Please note that the event times (beginning and ending) should indicate when the event actually begins and ends. This is the time that will appear on the calendar and in the parish bulletin. Set-up and cleanup time is in addition to the event time and will not appear on the calendar or in the bulletin. A form should be submitted for each event (recurring meetings on a weekly or monthly basis can be submitted on one form; special events should be submitted separately).     • Regarding fundraisers for organizations sponsored by St. Joseph Parish, it is the policy that each organization is limited to one fundraising activity per year in the gathering space at St. Joseph and in the vestibule at St. Rose. This does not pertain to fundraisers which benefit the parish (Carnival, etc). Recruiting activities may take place more than once, but may not take place when other events are scheduled after Mass. Normally, all fundraisers and recruiting events should take place at both St. Joseph and St. Rose. All such activities are to be scheduled through the parish office as outlined above.

    • Community organizations which use parish facilities are to submit requests for space as outlined above. Because St. Joseph Parish and its organizations hold many fundraisers, requests from community groups for fundraisers cannot be accommodated.
